Privacy Policy

This privacy policy explains how the St. Germain's Alumni Association (SGAA) collects, uses, and protects information you provide while making a donation through this portal. By using the portal you agree to this policy.
1. Information we collect
When you make a donation we collect:
- Identity — your name, passing-out batch year, and the class you completed at school.
- Contact — email address and mobile number (with country code).
- Tax — Permanent Account Number (PAN) and postal address (both optional, but required to issue an 80G tax receipt).
- Donation — amount, the fund you chose, the chosen payment gateway, and the resulting transaction reference and gateway payment identifier.
- Technical — a session cookie used by Django to keep CSRF protection working during a donation flow. We do not use analytics, tracking, or advertising cookies.
2. Payment information we do not collect
Card numbers, UPI handles, net-banking credentials, CVVs, and OTPs are entered directly on the payment gateway's secure page (PayU India and/or Razorpay). They never touch SGAA servers. We see only the result of the transaction (success or failure) and the gateway's reference numbers. PCI-DSS compliance is held by the payment gateway.
3. How we use your information
- To process your donation through the chosen payment gateway.
- To email you an 80G receipt acknowledging the donation.
- To maintain a register of donors as required by Section 80G of the Income Tax Act, 1961, and to file the annual statement of donations (Form 10BD) with the Income Tax Department.
- To reconcile donations received against gateway settlements and bank credits, ensuring that funds received are correctly accounted for.
- To occasionally update you (by email) about how your donation has been used. You may opt out at any time by replying to any such email.
4. Sharing
We do not sell, trade, or share donor information with third parties for marketing purposes. We share information only:
- With our payment gateway partners as required to complete your donation.
- With our banker for settlement and reconciliation.
- With the Income Tax Department of India as required by law (Form 10BD donor statement).
- If compelled by law, regulation, or a valid legal request.
5. Spam / abuse protection
To prevent automated submissions and abuse, the donation form may use Google reCAPTCHA. By submitting the form you also agree to Google's Privacy Policy and Terms of Service.
6. Retention
Donor records and receipt registers are retained for at least 8 years from the end of the relevant financial year, in line with Income Tax record-keeping requirements.
7. Your rights
You may at any time:
- Request a copy of the donor data we hold about you.
- Request correction of inaccurate details (e.g. spelling of name, PAN, address).
- Request that your name be excluded from any future alumni communications, while we continue to retain the donation record itself for tax compliance.

8. Security
The donation portal is served over HTTPS. Donor data is stored on servers maintained by SGAA, and access is restricted to office bearers of the alumni association on a need-to-know basis.
9. Changes
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the latest revision.
